This article outlines important deadlines for submitting various financial requests

and reimbursements for the 2024-2025 school year. Failure to meet these deadlines

may result in the use of FY26 funds or rejection of your request.

Crucial Requisition Deadlines:

There are two key dates related to requisitions:

  • Wednesday, April 30, 2025 - Requisition Submission Deadline

This is the absolute deadline to submit all requisitions for FY25, including grant

funds budgeted for SY24/25 expenditures not referenced below.

  • Friday, June 13, 2025 - Procurement Queue Deadline

All requisitions must be fully approved and in Procurement’s queue by June 13,

2025. It is essential that all approvers in the requisition approval chain complete

their approvals promptly to ensure compliance with this deadline. Any delays in

the approval process will hinder timely processing and could result in the

requisition being charged against FY26 funds. Timely action from all approvers is

critical to avoid these consequences.

Other Important Deadlines:

  • Friday, May 16, 2025 - Non-PO AP Invoices (District Office)

  • All Non-PO AP forms and invoices must be submitted to AP by Monday, June 16,

    2025.

  • June Reimbursement Expenses: Travel or reimbursement expenses incurred

    in June must be submitted within 30 days of the expense date.

Confirming POs:

Confirming PO requisitions submitted after the April 30, 2025, deadline will be rejected

and a new requisition must be entered in FY26 using FY26 funds.

Confirming PO requisitions using grant funds submitted after April 30, 2025, will be

denied and FY26 general funds will need to be used to cover the expense.

Associated Grant Deadlines (No Extensions):

These deadlines apply specifically to CPG (5523.25) related expenses:

  • February 28, 2025: Deadline to enter all requisitions in Fusion.

  • March 8, 2025: Deadline to enter budget amendment requests.

  • March 31, 2025: Deadline to resolve and resubmit previously rejected requisitions.

  • May 15, 2025: Deadline to submit PSTARs for stipends/temps.

  • Last Day of School: Deadline for items/services to be provided on CPG.

Title I (4501.25) Funding:

The requisition deadline for Title I funding is August 15, 2025, but these funds will only

be available until the April 30 deadline for all requisitions and not again until

requisitioning opens again for the new school year. Plan ahead and submit requisitions

early. Confirming purchase orders will not be approved. Contact your designated Title I

Staff Specialist or the district's Title I Coordinators for questions or support.

Requesting an Exception:

Exceptions will be considered under certain limited circumstances, which are listed on the exception form.

  • To submit an exception for consideration, complete the ‘Exception

    Request for POs, Non-PO AP Invoices and Expense Reimbursements’

    form. Please keep exceptions to a minimum.

  • You must indicate why you did not submit the requisition, Non-PO AP,

    and expense reimbursement by the deadline.

All requisitions must be fully approved and in procurement’s queue by June 13, 2025.
